What Is e-Khata Status and Why You Need to Track It
Your Application Goes Through Multiple Stages Before the e-Khata Is Issued
When you apply for a new e-Khata, Khata transfer, or Khata correction on the BBMP e-Aasthi portal, the application does not get approved instantly. It goes through a review process involving the Case Worker (CW) and the Assistant Revenue Officer (ARO) at your BBMP ward.
Tracking the e-Khata status tells you exactly where in this chain your application is sitting and whether you need to act.
Who Handles Your Application | Role | Typical Time |
System (Automatic) | Application receives an acknowledgement number and is queued | Instant |
Case Worker (CW) | Initial document check verifies uploaded files are legible and complete | 1 to 3 working days |
Assistant Revenue Officer (ARO) | Substantive review verifies ownership, property details, and title documents. May raise queries or schedule a site visit. | 5 to 15 working days |
ARO Final Approval | ARO signs off on the e-Khata digitally. Draft e-Khata is generated. | 1 to 2 working days after review |
Ready for Download / Sub-Registrar | Approved e-Khata is available to download from the portal for ₹125. | Immediately after approval |
Under Karnataka's Sakala Services Act, BBMP must process Khata applications within 30 working days. If your application crosses this threshold without action, you have the right to escalate.
Method 1: Check e-Khata Application Status by Application Number
Use This If You Applied Recently and Have Your Acknowledgement Number
This is the primary status-checking method. It works for all standard e-Khata applications submitted via the citizen login on the e-Aasthi portal.
What you need: your Application Number (from the acknowledgement receipt downloaded when you submitted your application) and your registered mobile number.
Step 1: Go to the Application Status Page
Open your browser and navigate directly to:https://bbmpeaasthi.karnataka.gov.in/citizen_core/EkhataApplicationStatus
Step 2: Log In with Mobile OTP
Click 'Login' or enter your registered mobile number on the status page.
Click 'Get OTP'. Enter the OTP sent to your mobile within 30 seconds.
Click 'Submit' to proceed.
Step 3: Enter Your Application Number
In the search field, enter the Application Number from your acknowledgement receipt.
This is a numeric code generated when you submitted your application. It appears on the acknowledgement PDF you downloaded at submission.
If you did not save it: log in to the main portal at bbmpeaasthi.karnataka.gov.in and check 'My Applications' or 'Application History'.
Step 4: Read Your Status Result
After clicking Search, the portal displays your current application status.
The status label shown will correspond to one of the stages listed in the next section of this guide.
If a query has been raised by the CW or ARO, the query details will appear here. You must respond to it online before the application can move forward.
Where to Find Your Application Number If You Lost It
Log in to bbmpeaasthi.karnataka.gov.in with your mobile OTP.
Click 'eKhata' in the top navigation menu.
Select 'My Applications' or 'Application History'.
Your submitted applications and their reference numbers will be listed with dates.
Alternatively, check your email inbox for the acknowledgement email sent at the time of submission.
Method 2: Check Final e-Khata Status by ePID Number
Use This If Your Application Is Approved and You Have Your ePID
Once your application is approved and the final e-Khata is generated, you can check its status using your ePID (Electronic Property ID). This method also tells you whether the e-Khata is ready to download.
Your ePID is a 10-digit number assigned to your property in the e-Aasthi system. It appears on:
Your e-Khata acknowledgement receipt
Any previously downloaded e-Khata PDF
The main portal's property search results when you search by owner name or SAS ID
Step 1: Go to the Final e-Khata Status Page
Step 2: Enter Your 10-Digit ePID Number
Type your ePID in the search field.
Double-check: ePID is exactly 10 digits. No spaces, dashes, or letters.
Click 'Search'.
Step 3: View Status and Download Option
The page will show the current status of your final e-Khata:
If 'Approved' or 'Ready for Download' a Download button will appear.
If 'Pending' or 'Under Review' the application is still being processed.
If 'Draft Generated' a draft has been created; check for any correction requests before downloading.
To download: click 'Proceed to Pay' and pay ₹125. Your ePID is the PDF password.
Method 3: Check New Khata Application Status
Use This If You Applied for a Brand-New Khata (No Existing BBMP Khata)
If your property had no Khata at all and you applied via the New Khata portal (bbmp.karnataka.gov.in/newkhata), your status is tracked separately from the main e-Aasthi application flow.
Step 1: Go to the New Khata Status Page
Navigate directly to: https://bbmpeaasthi.karnataka.gov.in/citizen_core/EkhataApplicationStatus
Step 2: Enter Your Application Reference Number
Enter the reference number from your New Khata application acknowledgement.
Click 'Search'. The page will display your current status, the stage your application is at, and whether any additional documents have been requested.
What Do the Status Stages Mean?
Every e-Khata Application Status Label Explained
Once you check your status, you will see one of the following labels. Here is exactly what each means and what action you should take:
Stage 1: Application Submitted / Acknowledgement Generated
What it means: Your application has been submitted and has received an acknowledgement number. It is now in the queue awaiting review by the Case Worker.
What to do: No action needed. Wait 2–3 working days for it to move to the next stage. Save your acknowledgement number.
Stage 2: Application Is with Case Worker (CW)
What it means: The Case Worker is conducting an initial document check, verifying that your uploaded files (sale deed, EC, tax receipt, Aadhaar, property photo) are legible, complete, and correctly uploaded.
What to do: Wait. If the CW raises a query (document missing, blurry file, wrong document type) it will appear on the status page. Log in and respond with the correct document upload immediately.
Stage 3: Application Is with ARO (Assistant Revenue Officer)
What it means: This is the substantive review stage. The ARO is verifying ownership, property title, Aadhaar KYC match, property details, and may physically inspect the site for some applications.
What to do: Wait. This is the longest stage, typically 5–15 working days. Check the status page every 3–4 days. If a query is raised here, respond within 7 days to avoid your application being returned.
Stage 4: Query Raised / Documents Pending
What it means: The CW or ARO has raised a specific question or requested an additional document before they can process the application. This is a hold state the application does not move until you respond.
What to do: URGENT log in immediately. Read the query carefully. Upload the requested document or write a response. Typical queries: name mismatch, blurry EC, missing BESCOM bill, wrong property area declared.
Stage 5: Site Inspection Scheduled
What it means: The ARO has scheduled a physical site inspection of your property before approving the e-Khata. This is common for New Khata applications and some correction cases.
What to do: Ensure someone is at the property on the scheduled date. The Revenue Inspector (RI) will visit to verify that the property exists at the address, matches the declared area, and has no encroachments.
Stage 6: Draft e-Khata Generated
What it means: The ARO has reviewed your documents and a preliminary e-Khata has been generated. This is a draft, not the final document. You can view it on the portal to check for errors.
What to do: Log in and check the draft e-Khata carefully. Verify: owner name, property address, ward, zone, built-up area, and Khata type (A or B). If anything is wrong, raise a correction request from the portal BEFORE the final e-Khata is issued.
Stage 7: Signed by ARO / Approved
What it means: The ARO has digitally signed the e-Khata. The final e-Khata is now approved and available for download from the portal.
What to do: Log in and download your e-Khata. Pay ₹125 download fee. Use your ePID as the PDF password. Verify all details in the downloaded PDF. Save a copy to cloud storage.
Stage 8: Ready for Registration at Sub-Registrar
What it means: Your verified e-Khata is fully approved and can now be used for property registration at the Sub-Registrar Office. This label appears specifically when an immediate sale flag was selected during application.
What to do: Your e-Khata is transaction-ready. Download it, verify it, and proceed with your property registration at the SRO. Carry the e-Khata printout and the downloaded PDF.
Stage 9: Rejected
What it means: Your application has been rejected. The portal will show the rejection reason typically: incorrect documents, mismatched owner name, property not in BBMP jurisdiction, duplicate application, or pending tax dues.
What to do: Read the rejection reason carefully. Fix the issue clear tax dues, correct name, upload right documents. Then reapply. If you believe the rejection is incorrect, file an appeal with the Joint Commissioner of Revenue.
Draft e-Khata vs Final e-Khata: What Is the Difference?
Why Your Status Might Show 'Draft Generated' and Not 'Approved'
Category | Draft e-Khata | Final e-Khata |
What it is | A preliminary version generated after ARO review, before formal digital signing | The digitally signed, legally valid e-Khata certificate |
When it appears | After ARO review stage is complete before final approval | After ARO digitally signs the document |
Can you download it? | You can view it on the portal to check for errors. Not the official document. | Yes pay ₹125 and download the digitally signed PDF |
Is it legally valid? | No draft only. Do not submit to banks or SRO. | Yes accepted by SRO, banks, BESCOM, BWSSB |
What to do at this stage | Review all details carefully. If any error found, raise a correction request immediately before it becomes final. | Download, save, and verify all details in the PDF |
ePID visible? | Yes, your ePID is assigned at this stage | Yes, ePID is the PDF password |
Always Check the Draft Before Final Approval
Once the final e-Khata is digitally signed, corrections become harder and require a fresh rectification application.
At the draft stage, you can raise a correction directly via the portal faster and more simply.
Common errors found at the draft stage: wrong built-up area, incorrect owner name spelling, wrong Khata type (A when it should be B or vice versa), and wrong ward or zone.
Log in to bbmpeaasthi.karnataka.gov.in and view your draft before the ARO signs it off.
What to Do If Your e-Khata Application Is Stuck
Escalation Steps When Your Application Has Not Moved
Stuck applications are common. Here is the exact escalation path based on how long your application has been idle:
Duration Stuck | Stage Stuck At | Action |
3 to 5 working days | With Case Worker | Log in and check if a query was raised. Upload requested document if yes. If no query wait. |
7 to 10 working days | With ARO | Check for any query raised. Respond if yes. If no query and no movement call ARO ward office directly. |
More than 15 working days | Any stage | Contact BBMP helpdesk: 94806 83695 or (080) 2297 5555. Email: dcrev@bbmp.gov.in. Mention application number and date of submission. |
More than 30 working days | Any stage | File a Sakala escalation at sakala.karnataka.gov.in. Under Sakala, BBMP is legally required to process Khata applications within 30 working days. |

Common e-Khata Status Problems and Fixes
Portal Errors and Status Issues People Actually Face
Problem | Likely Cause | Fix |
Status shows nothing after entering application number | Wrong application number entered, or application from a different portal | Verify the number on your acknowledgement PDF. Try the New Khata status page if you applied via that route. |
Status stuck at 'With Case Worker' for over 5 days | Documents not uploaded correctly, or CW queue backlog | Log in and check if a query has been raised. Re-upload documents if prompted. |
Status stuck at 'With ARO' for over 2 weeks | ARO queue backlog or unread query | Call helpdesk 94806 83695. Mention ARO ward office name and application number. |
Portal shows 'Approved' but no download button | Payment not yet initiated, or portal loading issue | Try refreshing the page. Use Chrome on desktop. Ensure you are on the correct status page (ePID-based final status page). |
ePID not found on Final e-Khata status page | ePID entered incorrectly, or final e-Khata not yet generated | Double-check ePID from acknowledgement. If application is still in draft or review, use Method 1 (application number) instead |
Portal crashes on payment page | Server load, browser compatibility issue | Try at off-peak hours (before 9am or after 8pm). Use Chrome. Clear browser cache first. |
Application showing 'Rejected' unexpectedly | Name mismatch, wrong SRO zone, pending tax dues, or duplicate application | Read the rejection reason carefully on the portal. Fix the specific issue mentioned. Reapply. |
No application found under 'My Applications' Application submitted from a different mobile number Try logging in with the mobile number used when the application was first submitted. Each mobile number has its own application history.
