Every application generates:

  • An application reference number (shown on screen and sent by SMS)

  • A Sakala GSC number (if the service is notified under Sakala)

  • An ePID (Electronic Property ID, once the property is in the system)

You applied for a Form 9, Form 11, or property tax record on e-Swathu. You got an acknowledgement SMS with a reference number. Now you want to know: where is the application? Is it approved? What does the current status mean?

This guide gives you every method to check your e-Swathu application status with screenshot descriptions, an explanation of every status message, and what to do when your application is stuck.

Method 1: Check Status on e-Swathu Portal

The Primary Method at eswathu.karnataka.gov.in

Step 1: Open e-Swathu 2.0

Open eswathu.karnataka.gov.in in Chrome or Edge browser.

On the home page, look for the "Application Status" tile. The e-Swathu 2.0 homepage shows Application Status options to track existing applications using ePID.

Step 2: Click Application Status

Click "Application Status" from the home page or main navigation.

Two tracking options appear:

  1. Track by Application Reference Number: Use the number from your acknowledgement SMS

  2. Track by ePID: Use your property's Electronic Property ID

Step 3: Enter Your Application Number

Enter your application reference number. This was sent to your mobile number via SMS when you submitted the application. It was also shown on the confirmation screen at submission time.

Click "Get Status" or "Search."

Step 4: View Your Application Status

The status card shows:

  • Application reference number

  • Application type (Form 9, Khata Transfer, etc.)

  • Property address and GP name

  • Date of submission

  • Current status (shown as a coloured badge)

  • Progress timeline showing all stages

Method 2: Track Using ePID

For Properties Already in the e-Swathu System

If your property already has an ePID (Electronic Property ID), you can use it to check all applications linked to that property.

Step 1: Click the "Track by ePID" tab

Select the "Track by ePID" tab. Enter your ePID and click Search.

Step 2: View all applications linked to your property

The portal shows all applications linked to your ePID, including the most recent and any historical applications. This is useful if you have submitted multiple applications for the same property.

Method 3: Check via the Sakala Portal

The Government's Mandatory Timeline Tracking System

Every e-Swathu application that is a notified service under Karnataka's Sakala Act gets a GSC (Government Service Centre) number. Sakala legally mandates the government to process applications within prescribed timelines.

Step 1: Open the Sakala portal

Open sakala.karnataka.gov.in.

Step 2: Click "Know Your Application Status"

Click "Know Your Application Status."

Step 3: Enter Sakala/GSC Number

Enter your Sakala/GSC number from the SMS received when you applied. Click Search.

Step 4: View Detailed Application Timeline

The Sakala status page shows:

  • Stage-by-stage processing with officer names and dates

  • Total days elapsed vs the prescribed timeline

  • Whether the application is within the deadline or overdue

  • Option to file a grievance if overdue

Sakala timelines for e-Swathu services:

Form 9 transfer (Khata transfer)

What to Do When Your Application Status Is Stuck

The Escalation Ladder  Step by Step

Stage 1: Wait for a reasonable period

Status messages often do not update in real time. If the status changed to "Under GP Verification" five days ago, wait until the 10th working day before escalating. One exception: "Documents Deficient"  act on this immediately, do not wait.

Stage 2: Check for a deficiency notice

Log in to eswathu.karnataka.gov.in → View your application → Check if a deficiency notice or document query is attached. This is the most common reason applications stall: a specific document was flagged, and the applicant missed the SMS notification.

Stage 3: Call the RDPR/Panchatantra helpline

Call 8277506000, the Karnataka RDPR helpline for e-Swathu and GP services. Have your application reference number ready. Explain the application type and how many days it has been pending.

Additional helpline contacts:

Stage 4:  File a Sakala grievance

If the application has exceeded the Sakala prescribed timeline:

  1. Go to sakala.karnataka.gov.in

  2. Click "File Grievance"

  3. Enter your Sakala GSC number

  4. Select the service type

  5. Describe the delay

  6. Submit

The government is legally mandated to respond to Sakala grievances within a specified timeline. Filing a Sakala grievance often triggers immediate officer action.

Stage 5: Visit the Gram Panchayat office

If calls and Sakala grievances do not move the application, visit the GP office directly with:

  • Your printed application acknowledgement

  • All original documents

  • A written request addressed to the PDO asking for the specific reason for the delay

Speak directly with the PDO (Panchayat Development Officer)  they have final authority over Form 9/Form 11 approvals.

How to Download Your Form 9 or Form 11 After Approval?

Once the status shows "Approved" or "Final e-Khata Issued"

Step 1: Log in at eswathu.karnataka.gov.in with your mobile OTP.

Step 2: Search your property by ePID or application reference number.

Step 3: Click "Download Form 9" or "Download Form 11" from the property detail page.

Step 4: The PDF opens in your browser. Save it immediately.

The Form 9 PDF contains:

  • Property owner's name

  • Survey number and plot details

  • Village and GP name

  • Property area

  • Ownership basis (purchase/inheritance)

  • PDO's digital signature

  • QR code for authenticity verification

The digital signature on the PDF is legally equivalent to a manual stamp. Banks, courts, and government offices must accept it. If anyone refuses, point them to the Karnataka State E-Governance Department's digital signature notification.

Frequently Asked Questions

Go to eswathu.karnataka.gov.in, click "Application Status" on the home page, select "Track by Application Number," enter your application reference number (sent via SMS at submission), and click Search. Alternatively, use the Sakala portal at sakala.karnataka.gov.in with your Sakala GSC number, or the BSK portal at bsk.karnataka.gov.in with your BSK application number.

ePID stands for Electronic Property ID, a unique permanent identifier assigned to your property in Karnataka's e-Swathu system. It is different from your application reference number (which is specific to one application). The ePID is assigned when your property is first registered in e-Swathu and remains the same for all future applications. Use the ePID to pull all applications linked to your property at once.

Form 9 (Khata certificate) typically takes 10 to 15 working days for standard applications with complete documents. The prescribed Sakala timeline is 15 working days. If processing exceeds 20 working days without a decision, file a Sakala grievance at sakala.karnataka.gov.in or call the RDPR helpline at 8277506000.

Documents Deficient means the Gram Panchayat officer has identified a specific document that is missing, unclear, or incorrect in your application. An SMS notification is sent with the deficiency details. Log in to eswathu.karnataka.gov.in, view your application, and upload the correct document in the format specified. Act on this immediately; applications with unfixed deficiencies are typically rejected after a waiting period.

First, check for any deficiency notices in your application online. Then call the RDPR helpline at 8277506000. If no response, file a Sakala grievance at sakala.karnataka.gov.in with your Sakala GSC number. For persistent delays, visit the Gram Panchayat office and speak directly with the PDO with your printed acknowledgement and original documents.

No. The e-Swathu portal does not generally allow status tracking using only a mobile number. You will need your application reference number, ePID, or Sakala GSC number to view the current status of your application.

Check the SMS sent to your registered mobile number at the time of application. If you cannot locate it, visit your Gram Panchayat office or the BSK centre where you applied with your identity proof and property details to retrieve the application information.

Yes. The e-Swathu and Sakala portals are accessible online, allowing NRIs to track applications remotely using their application reference number, ePID, or Sakala GSC number. If additional verification is required, an authorised representative can assist locally.

This status means the application has completed preliminary verification and is awaiting review by the Panchayat Development Officer (PDO). The PDO is responsible for approving, rejecting, or returning the application for corrections before the final document is issued.

Yes. In most cases, status updates, deficiency notices, and approval notifications are sent to the mobile number registered during the application process. However, applicants should also check the portal periodically rather than relying solely on SMS notifications.
